Facilities And Operations Executive

About the job

Ensure the co-working space operates smoothly, efficiently, and safely by overseeing facility maintenance, operations, vendor management, and space planning in alignment with the organisation's standards and member expectations.


Key responsibilities:

1. Review addressing agreements to ensure compliance with terms, budget, and quality expectations.
2. Collaborate with the community team to design productive, welcoming, and efficient work environments.
3. Ensure the facility complies with local health, safety, and accessibility regulations.
4. Manage multiple vendors, contracts, and on-site maintenance teams effectively.
5. Address member concerns promptly, ensuring a positive experience and a professional environment.
6. Monitor and manage all physical assets, equipment, and supplies.
7. Track facility-related expenses, analyse cost trends, and recommend cost-saving initiatives.
8. Manage day-to-day facility operations, ensuring all systems and services are functioning optimally.
9. Develop and maintain detailed project schedules, budgets, and resource plans.
10. Collaborate with internal teams to maintain smooth facility operations.

Other requirements

1. Bachelor’s degree in Facility Management, Operations, Engineering, Business Administration, or a related field.

2. Should have relevant experience in facilities management, operations, or property management.

3. Prior work experience in co-working spaces, commercial real estate, or hospitality environments.

4. Strong knowledge of facility systems and building operations.

5. Knowledge of Occupational Safety requirements.

6. Proficiency in tracking budgets, facility-related financial reporting, and vendor/contract management.

7. Excellent problem-solving and decision-making abilities in high-pressure situations.

8. Strong customer service focus with the ability to resolve member concerns effectively.

9. Excellent people skills with the ability to interact across diverse client teams and demands.

10. Strong interpersonal and communication skills (verbal & written).

11. Highly organised, detail-oriented, and capable of managing multiple projects simultaneously.

12. Demonstrated experience with continuous improvement initiatives.

13. Demonstrated experience with client reporting and preparation of detailed reports.
